ISIR & Communications Management Batch Computer Processor (Administrative Assistant) #1241

To qualify for this position, you must have at least a bachelor’s degree and one (1) year relevant program experience; OR an associate degree and three (3) years of relevant program experience; OR a high school diploma and five (5) years of relevant program experience. Excellent customer service, communication, analytical, and technical skills are also required. Proficiency with Microsoft Office Suite is critical.  Data entry experience in automated processing and transmittal of electronic files, knowledge of federal and state regulations related to financial aid, and experience with Datatel a plus. The Upstate SC Alliance is seeking to hire a Director of Investor Relations and PR.
This position will be responsible for all aspects of the overall strategic fundraising and public relations programs. The primary function of the role is to manage all fundraising efforts of the Upstate SC Alliance to include both new money raised and as well as retained dollars. Position directs the strategic vision of the Investor Relations Coordinator who oversees all media relations, community relations, internal communications and investor relations. Role will works closely with the VP of Marketing.

Essential Skills and Requirements

  • Bachelor’s degree in communications, PR, accounting, finance, business administration, or related field with 3 to 5 years of experience.
  • Outstanding communication and interpersonal skills, both oral and written.
  • Self-starter/self-motivated.
  • Proven track record in fundraising and/or relationship sales
  • Exceptional organizational and project management skills.
  • Ability to manage multiple tasks with shifting priorities and varying deadlines.

  • Proficient in social media and internet applications
  • Ability to travel regionally and to work Monday and Tuesday evenings almost every week to attend County Council Meetings

JOB PURPOSE:  Provide summary statement to describe the overall scope and function of this position.

The purpose of the Executive Administrative Assistant is to perform an array of advanced clerical and administrative functions which will serve as primary, daily support for the President and Vice President of the construction operation.

FUNCTIONS:

1.        Conserves the Executive’s time by drafting letters, routing correspondence, researching related topics, collecting and analyzing information, and initiating telecommunications.

1.        Maintains the Executive’s appointment schedule by planning and scheduling meetings, teleconferences, and travel.

2.        Provides historical references by developing and utilizing filing and retrieval system(s) and by recording meeting minutes and/or discussions.

 

3.        Prepares correspondence and documents by transcribing dictation, editing grammatical contents, entering and formatting into an appropriate database, copying, faxing, and mailing.

 

4.        Interfaces with guests and customers on behalf of the Executive by greeting them in person or on the telephone. Answers and directs all related inquiries.

5.        Protects company operations by maintaining highly confidential information. Secures both automated and hard copy information by computerized back-ups and filing in fire proof safes.

6.        Compiles data and assembles Executive Board reports and other reports as requested on a timely basis.

7.        Completes projected related work as delegated , coordinates with other departments as necessary.  Organizes luncheon meetings, off-site conferences, and other events with Executives, Managers, and Guests in attendance.

EDUCATION AND EXPERIENCE:  Indicate minimum requirements necessary to perform all functions.

1. Bachelors or Associates degree preferred. High education required.

 

2. Should have 5+ years experience in an executive administrative role, preferably in the construction or similar industry. Must have excellent verbal and written communication skills.

 

3. Must be computer literate, with proficiency in Microsoft Office applications.

    Gulf Stream Construction Company, Inc., a site work contractor located in North Charleston, SC, has an immediate vacancy for an Administrative Assistant having proficient knowledge of SCDOT processes and requirements for heavy highway construction. Position has primary responsibilities including, but not limited to answering phones, coordinating and attending meetings with subcontractors, suppliers, engineers, etc., preparing meeting minutes, preparing and organizing Engineer / Owner required documents (i.e. test reports, certified payroll, submittals, quarterly reports, etc.),preparing supplier /subcontractor agreements, change orders, RFIs, etc., tracking and maintaining document requirements from suppliers / subcontractors (i.e. change orders, insurance, as-builts, etc.), distribute project schedule updates, drawings, etc., maintaining manual and electronic filing systems, creating and reviewing correspondence, preparing payment applications, proposals, RFIs, closeout documents, maintaining inventory of office and jobsite supplies and materials, and processing change order requests Administrative support of SCDOT projects is required, with approximately 5+ years experience in this field. Candidate needs to be proficient in Microsoft Office 2007 or 2010, with exceptional skills using Excel, Word, Outlook, and Adobe Standard 8. Should also possess basic accounting knowledge, and the ability to effectively use web based software. Knowledge of View Point and/or Site Manager would be a plus.
